How do I delete a Chart of Accounts item?

Detailed Description

Note: A Chart of Accounts item can not be deleted if it is in use somewhere else, e.g. cashbook transaction, invoices, journal entries, trading accounts, registers, budgets, linked to a Supplier or Customer. 

Step 1 

  • Once the Chart of Account item is no longer in use,
    • Click on the Chart toolbar icon. 
    • Click on, to highlight the account (chart item) you wish to delete. 
    • Click on the Delete button. 
    • Click Yes to the Confirm message: ' Delete account 001 - Agistment Received?'
  • If you get an error message similar to the following, you need to find out where is has been used.

 

Step 2 

  • To find out where a Chart of Account item is in use, click on the Reports > Lists > Used Accounts menu option. 

Step 3

  • In the Used Accounts Report window:
    • Click to highlight the account you wish to select. 
    • Click on the Print button.
  • The 'Used Account Report' provides a list of all instances where the selected account (chart item) is in use within the current data file - either for the current or previous year.

  • Identify where the account (chart item) is in use. 
  • To delete the Chart of Account item, you will have to remove it from the area/s where it is currently in use.

Note: if the chart of account is used in a current (this financial year) transactions, invoices or budget, you will not able to delete. 

 

Step 4 

  • Once the Chart of Account item is no longer in use,
    • Click on the Chart toolbar icon. 
    • Click on, to highlight the account (chart item) you wish to delete. 
    • Click on the Delete button. 
    • Click Yes to the Confirm message: ' Delete account 001 - Agistment Received?'
