Detailed Description

Step 1

Click on the File > Companies menu option.

 

Step 2

In the Available Companies window click on Add button.

Step 3

  • Select Wizard if you have no data to restore into the new company
  • Select Fast Add if you have a backup file you wish to restore into the new company

* Click on the OK button.

 

A. Adding a New Company via the Wizard

 

Step 1 - Company Details

  • Enter the Company NameDefault Backup Location and the Start of the Accounting Year for your Business.
  • Click on the Next button to continue

 

Step 2 - Further Company Details

  • Enter the contact details of the business.
  • Under the headings Modules, select the relevant options you will be using, i.e. Debtors, Creditors and/or Trust Accounting.
  • Click on the Next button to continue

 

Step 3 - Enterprises and Chart of Accounts

  • Click the type of company that suits your operation from the company template list displayed.
  • A corresponding Chart of Accounts will automatically be selected. Each one is a template to save you time and get you started. It can be modified later to suit your particular requirements.
  • A corresponding list of default Enterprises will automatically be selected. Default Enterprises are templates to save you time and get you started. They can be modified later to suit your particular requirements. Enterprises are like departments within your business operation. For example, if you select Grazing as your company type, your enterprises/departments may consist of Sheep, Cattle, Pigs, Goats. Unlimited enterprises can be set up to provide additional level of management reporting information. The enterprise allocation is made at transaction level, providing a very flexible way of obtaining detailed management information.
  • To de-select some or all of the default enterprises double-click on the ticked boxes in the Use column in the Select enterprise(s) window, so the box is no longer ticked. A de-selected enterprise can be re-selected in the same way.
  • Click on the Next button to continue

 

Step 4 - Build the Company File

  • Cashbook Platinum is now ready to build the company file based on the information you have provided.
  • Click on the Next button to create the new company.

 

Step 5 - GST Configuration

  • Most of the details will be pre-filled with defaults. Just make any specific changes required.
  • Click on the Next button to continue.

 

Step 6 - Chart of Accounts Customisation

You can make any adjustments to your chart of accounts:

  • Click on the Add button to add a new chart item.
  • Click on an item in the chart and click on the Edit button to make changes to an item (or double-click on an item).
  • Click on an item and click on the Delete button to delete an item

Click on the Next button to continue.

 

Step 7 - Opening Assets and Liabilities (not available in Level 1 Platinum)

  • You may change anything in the Opening Assets and Liabilities section, or just click on the Next button.

 

Step 8 - Finalization

  • Click on the Finish/Exit button.

 

B. Add a New Company Via FASTADD

Step 1

  • Click on the Add button, then choose Fast Add and click on the OK button.

 

Step 2

  • Choose a company type then click on the OK button. You will be asked to confirm your selection.

 

Step 3

  • Type in a company name and then click on the OK button. You can choose a default backup location here or leave this space blank.

 

Step 4 - Accounting Periods

  • Enter the date on which your current financial year started, if different to the default value assigned.
  • If your payroll year is different to your financial year, tick the relevant box and assign the beginning of the payroll year.
  • Click on the OK button.

 

Step 5 - Restore your data into the new company
